Presentation Instructions

Regular technical sessions

Full and short papers will be presented orally in a single track. Each full paper has a 15-minute slot, including questions, i.e., prepare for a 10- to 12-minute talk. Each short paper has a 10-minute slot, including questions, i.e., prepare for an up to 8-minute talk.

There is no recommended template for slides. Authors should bring their laptops with the battery charged for the presentation. 

Special sessions and workshop sessions

The duration and structure of the special sessions and workshops are up to the special session and workshop organizers. While special sessions may afford longer presentations than regular technical sessions, this may not be the case for workshops due to the insertion of keynote speakers, panels, etc.

Demos and video/demos:

Prepare a 1-minute pitch to advertise your demo in the Fast Forward (FF) session. Authors are required to send us their slides for the pitch in advance before Monday, Jan 27th. A channel will be made available for that. We encourage authors to use only 1 or 2 slides in the pitch. 

By the end of S4, on Tuesday, around 10:15 am, demo pitch presenters should line up at the slide of the stage in the order their paper appears in the program.

An area for demos will be prepared in Hall 02 or a side room and will be available during all the breaks and the afternoon sessions. We suggest hanging a poster by your demo spot. Demo presenters are expected to bring the necessary equipment. Presenting your demo as a video is okay if it is impossible to bring cumbersome equipment to Lisbon. Bring your own screen (laptop or tablet) to do this since we cannot provide it.

Posters:

All presenting authors are encouraged to bring a poster. This is not mandatory, though. Poster stands will be available in Hall 02 throughout the conference and can be used to show and discuss your work with attendees during the breaks.

Remote presenters:

While in-person first, this year's conference will allow remote presentations by some authors who cannot make the trip to Lisbon due to visa or other last-minute issues.

Remote presenters will use Zoom to present their papers. Zoom links will be sent via Discord direct message 30 minutes before the presentations to allow remote presenters time to prepare and test their setup. Remote presenters can also arrange a tech check before their sessions. Zoom will exclusively be used by remote presenters, not by participants.

Formatting your paper

Your final camera-ready paper MUST be formatted using the templates provided below. It is highly recommended that you proofread and check the layout of your paper BEFORE using PDF eXpress™ or submitting the final PDF version of your paper.

Extra pages

If needed, authors may purchase up to 2 extra pages for each accepted contribution (95 euros per page). This offer is valid for any track full/short/demo/workshop/special session papers. See the Registration page for more details.

The deadline for submission of your Camera Ready is Dec 15, 2024 Dec 17, 2024.

You will first need to sign-up for a new account in Conference Publishing Services before you can access the AIxVR 2025 author kit site. When signing in, please go to the text "Sign Up" to the right of the text "Log In" to create an account.  Please note this is separate from your IEEE membership login.

Once you have created an account, login and click through the left column of tabs to view information on:

●    paper ID

●    paper page limits

●    submission deadlines

●    formatting

●    PDF eXpress paper validation and PDF file creation (Conference ID is on that page)

To access the copyright and paper submission process, click "Next" at the top right of the screen.
